The type of personal information we collect

We currently collect and process the following information:

  • Personal identifiers, contacts and characteristics (for example, name and contact details)

  • Dance-related preferences (e.g. interested in the Samba)

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • You enquired about one of our services
  • You signed up to our mailing list
  • You completed one of our services
  • You came to one of our events or classes
  • You willingly gave us your details

We use the information that you have given us in order to; inform you of upcoming events, classes, performances and collaborations, inform you of any offers; give you dance-related information; send you any relevant third-party offers, classes, events and performances, send you any relevant dance-related content.

We may share this information with the software Mailchimp and Google mail (our email providers), and anyone who works (either as freelance, temporarily, contracted or other) under Norwich Latin Dance or Jack to Basics Bachata.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

How we store your personal information

Your information is securely stored in a password protected file on Google drive or within the Mailchimp/Google Mail database.

We keep the information gathered for specific event or class for a month after the event has occurred. We will then dispose your information by deleting the files from the system and the recycle bin.

We keep emails and email addresses indefinitely unless asked to be removed from the mailing list by the email address owner where we will highlight the contact as do not contact/unsubscribed and remove their email preferences. This is to make sure the email address is not re-added by accident and not contacted further. Any irrelevant emails will be deleted.

We keep photos on our social media platforms indefinitely, unless asked to be removed from the person whose photo it is.

Your data protection rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information.

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
